Student Events and Use of Facilities

Club/Student Facilities Usage

All Club/Student usage of facilities must be approved via the Activities Director.  Please submit paperwork and questions directly to the Activities Office AT LEAST THREE WEEKS BEFORE YOUR EVENT.

Steps for Student Use of EVHS Facilities

  1. Have your adviser check the Facilities and Athletics Calendars to see if your date is available.
  2. Fill out and submit an electronic ERF: Event Request Form below - this form must include ALL details or it will be denied.
  • Supervision Confirmation - Club Advisers must be present at all club events
    • RSVP that you will be attending to the calendar invite sent after your event is approved.
      • RSVPing Not Attending means the event will be canceled.  Club events must have an adviser present.

Notification of approval will be emailed to the club adviser via a Calendar Invitation.  Advisers must accept the invitation in order for the event to proceed.

  • Check the ERF Tracker below to view that status of your ERF.
  • There is no charge for student groups and clubs to use EVHS Facilities.  
  • Custodial, Security and AVT Technician charges will apply.
    • ASB will create an RPO for custodial, tech and/or security charges for you after we receive the timesheet from the office.
    • Clubs will be notified when the RPO is ready via LoopMail.
    • Clubs must meet and approve the expenditure within 2 weeks of notification that the RPOs readiness to avoid a late charge.
    • Submit a copy of the signed minutes approving the expenditure to the bank ASAP.
